Administrative Assistant

Support Us

In this dynamic and critical role, you will identify, plan and implement the administrative objectives set by the Executive Director to ensure the Davis Phinney Foundation’s overall effectiveness. You will be the first point of contact for all incoming inquiries into the Foundation.

Administrative Responsibilities

  • Open, distribute and/or process all incoming mail
  • Coordinate meetings on-site and off-site
  • Manage multiple shared calendars
  • Produce and manage administrative budget
  • Administer staff email accounts, phone systems, and cloud services
  • Order office supplies; constantly shopping vendors for the best price possible value
  • Oversee merchandise sales and inventory
  • Oversee all facilities management issues, including staff parking
  • Oversee organization wide system integrations and make recommendations based on current technologies
  • Manage vendor relations and files
  • Assist in packing and shipping materials for off-site programs and fundraising events
  • Coordinate travel for Executive Director and other Foundation staff, as needed
  • Provide administrative support to the Executive Director

Gifts Processing, Donor Acknowledgements, and Notes

  • Enter all incoming donations, cash, credit card and in-kind donations in a timely manner; following procedures for gift entry and acknowledgements
  • Ensure that approved donor recognition/acknowledgements and stewardship support protocols are followed
  • Offer ideas that may result in improvements in revenue generation, overall services and/or gift processing functions
  • Prepare monthly, quarterly, and annual reports
  • Respond to donation inquiries and/or ensure appropriate follow-up by staff
  • Enter notes and copies of documents onto constituent records and train staff to do the same so donor and constituent records have up-to-date communication threads
  • Manage matching gift request and workplace giving submissions
  • Manage Vehicle for Charity submissions

Volunteer Coordination

  • Solicit, coordinate and supervise volunteers working in the administrative capacity and provides assistance to Foundation staff in finding volunteers
  • Conduct volunteer orientation and training
  • Schedule, track and post all volunteer activity in database
  • Facilitate contact between interested volunteers and Foundation staff

Qualifications

Our ideal candidate will be a pro-active, self-directed and organized professional who possesses the following skills and attributes:

  • Bachelor’s degree or equivalent work experience
  • One to three years’ experience in non-profit or customer service fields
  • Demonstrated ability to work effectively, independently and collaboratively as part of a team and a desire to achieve and lead others toward excellence
  • Highly proficient with multiple technology platforms (Mac and PC) and software packages including MS Office and donor management systems
  • Excellent interpersonal, verbal and written communication skills
  • Excellent attention to detail, superior organizational skills, and ability to meet deadlines and juggle multiple projects at one time

In this 32 hour-a-week role, you will work Monday through Friday at the Davis Phinney Foundation’s office in downtown Boulder. Periodically, with advance notice, you will be asked to work an evening or weekend hours. There will be occasional opportunities to travel if you are interested in traveling.
